Instructions on How to Fill out the Form for Epoch-Making Initiatives Research Plan

Introduction

The project director who wishes to apply to the research groups for Epoch-Making Initiatives Projects should submit a research plan. The Users Office will check the content of the research plan and prepare the materials for review on the basis of the research plan submitted. Missing information in the research plan may affect the review result. Therefore, thoroughly read the Submission Guide before filling out the research plan form.
To submit the research plan, directly enter the necessary data in an electronic file and send it via email as an attachment. Online data entry, as required for other SPring-8 research proposals, is not required.
It is the project director’s responsibility to prepare the research plan in accordance with the instructions below.

[Guide on Data Entry]

1.Project Director

Provide the following information on the project director. (The project director should be the applicant and should prepare this research plan).
  ・Name
・Affiliation (organization, department)
・Position Title
・User Card No. (seven digits)
(1) Affiliation (organization, department): You need not provide the department name if there is no department with which you are affiliated.
(2) User card ID number: You should have completed the user registration in advance. If you are unregistered, complete the user registration through the UI site to obtain a user card ID number.
  Note: Once the application is submitted, the project director cannot be changed.

Provide the English title of the research plan in approximately 30 words.

Summarize the outline of the research plan for Epoch-Making Initiatives Proposals in approximately 250 words in an easy-to-understand manner.

4.Related Research Areas

Select at least one research area considered to be related to your research plan and specify the research area (group and subgroup), research method (group and subgroup), keywords, and desired beamlines. List the related research areas in order of the degree of relevance. There are four data entry tables. If you wish to provide more than four related research areas, copy and paste the required number of additional data entry tables appropriately.
(1) Research Area (Group and Subgroup): Select the appropriate research areas from among the list in Attachment 1.
(2) Research Method (Group and Subgroup): Select the appropriate research methods from among the list in Attachment 2.
(3) Keywords: Examples of keywords are also given in the list in Attachment 2. However, you can freely provide your original keywords.
(4) Desired Beamlines: Provide the names of all beamlines you are planning to use within the effective period (two years) at the time of application. If you wish to use multiple beamlines, enter their names in a comma-separated format (e.g., BL20XU, BL47XU, …). The desired beamlines can be added or changed even after the research group is selected.
(5) Regarding (1) and (2): If there are no appropriate choices in the lists in Attachments 1 and 2, select “Others” and provide the research areas and methods the applicant considers the most appropriate in brackets.

5.Project Leaders

Provide the following information on the project leaders in charge of individual research proposals in the research plan.

・Affiliation 2 (department)
・Position Title
・User Card No.
・Title of Research Proposal
・Related Research Area Number
・Desired Beamline(s)
(1) Affiliation 2 (department): Not necessary if there is no department with which the project leaders are affiliated.
(2) User card No.: The project leaders should have completed the user registration in advance. If the project leaders are unregistered, they should complete the user registration through the UI site to obtain a user card number.
(3) Related Research Area Number: Select the research area most closely related to the individual research proposal from among the related research areas (1)–(4) provided in the previous section (“4. Related Research Areas”) and enter the number.
(4) Desired Beamline(s): Provide the names of all beamlines you are planning to use at the time of application. If you wish to use multiple beamlines, enter their names in a comma-separated format (e.g., BL20XU, BL47XU, …). The desired beamlines can be added or changed even after the research group is selected.
(5) If there are six or more project leaders, copy and paste the required number of additional data entry tables appropriately. There is no limit to the number of project leaders.
  Note: Once the application is submitted, the project leaders and their numbers cannot be changed.

6.Research Funds

(A) Competitive Research Funds
The project director and project leaders specified in the research plan are the research project representative and coresearchers, respectively. Provide the following information on the competitive research funds that can be applied to the research plan.
  ・Name of Competitive Grant Program
・Funding Body (organization)
・Title of Project Supported by Competitive Fund
・Research Project Representative [Name, Affiliation 1 (organization), Affiliation 2 (department), and Position Title]
・(Coresearchers) [Name, Affiliation 1 (organization), Affiliation 2 (department), and Position Title]
・Outline of Project
・Funding Period (start and end fiscal years)
・Amounts of Funds (for the entire period and the current fiscal year)
(1) Name of competitive funding program: Provide the name of the program within approximately 50 words.
(2) Funding body (organization): Provide the name of the funding body within approximately 50 words. If the funding body is widely known (e.g., JST, JSPS, NEDO), you can use the English abbreviation instead of the fully written formal name.
(3) Title of project supported by competitive fund: Provide the title within approximately 70 words. The Users Office will confirm the information on the accepted project against the data published online on the basis of the title provided. Ensure that there are no errors in your description.
(4) Research project representative: The Users Office checks this together with the title of the project specified in (3). Provide the name of the research project representative (e.g., research supervisor for CREST, project leader for NEDO), not the coresearchers of the competitive fund obtained.
(5) (Coresearchers): Provide this only if the research project representative is neither “1. Project Director” nor “5. Project Leaders”, namely, the research project representative is not a member of the proposed research group.
  Note: Either “(4) Research project representative” or “(5) (Coresearchers)" should include the project director or project leaders of the proposed research group.
(6) Funding period (start and end fiscal years): The accepted research plan should be continuously supported by funds available for the effective period (two years). If a competitive fund expires during the effective period, also provide information on other competitive funds to prove that the research plan will be continuously supported by these funds.
(7) Amounts of funds for the entire period (amount available) and for the current fiscal year (amount available): Provide the total amount of funds allocated for the funding period in (6). If the project director (who is the applicant and prepares the research plan) is different from the research project representative (or the project director is a coresearcher), also provide the amounts of funds contributed for the entire period and for the current fiscal year in brackets.
(8) If you need to enter five or more competitive funds, copy and paste the required number of additional data entry tables appropriately. There is no limit to the number of competitive funds.
(B) Other Research Funds
If Project Director or Project Leaders have any research funds, that can be applied to the research plan, other than Competitive Research Funds, please provide the following information on those funds.
  ・Funding Body (organization)
・Amount of Funds
・Funding Period (start and end of fiscal years)
If you need to enter five or more other funds, copy and paste the required number of additional data entry tables appropriately. There is no limit to the number of Other Research Funds.

7.Research Plan

Describe the overall concept and research purposes of your proposed research plan concretely and clearly in terms of the following items.
(1) Academic Background of Research
  ・Process of conceiving the proposal
  ・Previous related research activities (current status of research and achievements)
Describe the research results previously obtained in a concrete manner. If the research plan is related to any proposals previously accepted, explain the relationship with those proposals.
(2) Novelty of Research Plan
  Describe the novelty of the research plan as follows.
  ・Explain what points of the proposed research plan will lead to the creation and development of an unexplored research area beyond the boundaries of traditional research areas.
  ・Concretely state the reason why the proposal has originality and novelty that are not found in previous SPring-8 proposals or research groups.
  ・Explain how the research results will be important and necessary for the development of SPring-8 in the future by referring to research trends in Japan and overseas and consulting the international research level.
(3) Composition of Research Group
  ・Demonstrate that the research group consists of researchers who are expected to greatly contribute to the promotion of epoch-making initiatives.
  ・Explain how collaborations with research organizations and outstanding researchers in Japan and overseas can be realized.
  ・Give a schematic showing the possibility of any necessary systematic collaboration.
(4) Research Plan
  ・Explain the research activities planned to be carried out in the effective period (two years) in chronological order.
  ・Describe the concrete research plans and methods of achieving the research purposes. The first- and second-year plans should be separately and clearly summarized by appropriately citing references and focusing on targets.
  ・Describe the results of multifaceted examinations including measures to be taken if the initial research plan is not followed and explain how different research areas will be integrated to carry out the research.
(5) Expected Research Results
Explain the following points.
  ・How your proposed research will sustainably develop after the end of the research period
  ・What academic and social significances as well as ripple effects can be obtained
  ・How the results of activities, such as joint research, fostering of young researchers, and shared use of facilities, will be actively disseminated in Japan and overseas
(6) Progress Status
  Describe the progress status and prior investigation of the experimental equipment and materials.
(7) Outlines of Research Proposals Performed by Project Leaders
  Give a brief explanation of the individual research proposals that will be performed by the project leaders (provided in “5. Project Leaders”) considering the following points.
  ・Purposes, significance, and management policy of research proposals
  ・List of project team members (name and affiliation) participating in the proposed research and collaborating with the project leaders
  ・Basic ideas for collaboration between the project leaders and project team members, assignment of their roles, and research activities
  ・Goals and expected research results
  Provide the information on the outlines in the same order as “5. Project Leaders.” If there are six or more project leaders, copy and paste the required number of additional data entry tables appropriately.
Note: When the research plan passes the document screening (first review), project leaders should register online their research proposals for the next B term (half a year) as an Epoch-Making Initiatives Proposal by the designated date. Be prepared for this registration in advance because there are only a limited number of days from the notification of the result of the document screening to the deadline for the online registration. For details, refer to “4. (3) Online Registration for Epoch-Making Initiatives Proposals (by Project Leaders).”
(8) Others
  Any supplementary note other than items (1)–(7) can be freely provided.

8.Management System

(1) Systematic Collaborative System Centered Around the Project Director

Describe how the research group consists of researchers who are expected to greatly contribute to the promotion of the epoch-making initiatives. Give a schematic showing the possibility of any necessary systematic collaboration.

(2) Management Achievements of Project Director
  Clarify the basic ideas of the project director for realizing the smooth management of the research group and the implementation of the research plan. Give the management achievements of the project director in previous different research organizations (the promotion of research projects, the planning and management of projects in research organizations and international conferences, the management of societies, the planning and management of research in public laboratories and other institutions), if any.

9.List of Publications

  ・Give a list of typical publications of the project director and project leaders related to the research plan in 2-3 pages.
  ・Ensure that the research results obtained at SPring-8 have been registered in the Publications Database and provide the registration number issued upon registration before each publication in the list.
